Sustaining Stakeholder Engagement and Future-Readiness
Abstract
This chapter explains how to keep AI initiatives effective after launch by institutionalizing engagement, iteration, and future-readiness. It shows how early excitement fades without visible improvements, clear ownership, and regular dialogue, then outlines practical routines to prevent “AI fatigue”: quick, demonstrable wins; recurring showcases and design sprints; and structured avenues for input. Governance shifts from ad hoc pilots to enduring bodies—steering committees and rotating ambassador networks—that sustain inclusive participation across students, faculty, and staff. A simple feedback pipeline (with triage, assigned owners, and transparent status updates) turns everyday observations into timely fixes, while milestone reviews surface deeper issues such as bias or misaligned incentives. This chapter emphasizes continuous re-baselining as campus demographics, policies, and research priorities evolve, and it pairs scenario planning with a multi-year AI Strategy Scorecard to track long-term outcomes in student success, faculty workload, institutional reputation, and ethical stewardship. It also describes how to build a culture that treats each deployment as an iterative learning asset—capturing lessons, rewarding informed risk-taking, and sharing practices across departments. A concluding case study demonstrates these elements in action, and three appendixes provide ready-to-use tools: a feedback template, an ambassador program design, and a long-term metrics scorecard that together help universities convert one-time wins into durable, mission-aligned progress.
