Smart Appointment and Queue Management System Using Java and MySQL
Abstract
This report presents the Smart Appointment and Queue Management System(SAQMS), a comprehensive desktop-based software solution developed using Java(JDK 17+), JavaFX, and MySQL 8.0 to automate appointment booking and real-timequeue management for service-oriented institutions. The system enables clients tobook, reschedule, and cancel appointments through an intuitive graphical interface, while administrators and staff manage schedules, service configurations, and queueoperations. A priority-based queue engine dynamically assigns queue numbers andrecalculates estimated waiting times in real time. Three-tier architecture — separatingthe JavaFX presentation layer, Java business logic layer, and MySQL data layer —combined with BCrypt password hashing and fully parameterized JDBC queriesensures both security and maintainability. Role-based access control governs all systeminteractions across three user roles: Administrator, Staff, and Client. An integratedSMTP notification service delivers automated email confirmations, appointmentreminders, and queue alerts. Performance validation confirms sub-two-second responsetimes under 100 concurrent users and maintained performance thresholds at 500concurrent users, satisfying all defined non-functional requirements. Comparativeanalysis against Calendly, Zoho Bookings, and SimplyBook.me confirms that theproposed system uniquely combines dedicated queue management, offline deploymentcapability, multi-institution configurability, and full database sovereignty within asingle open-architecture solution.
