Evidence-Grounded AI Operations Workflow: Extending a Human-Designed Quality Monitoring Framework with Agentic AI
Abstract
Evidence-Grounded AI Operations Workflow is an Applied AI Case Study documenting the later introduction of agentic AI within an established, human-designed quality monitoring and incident-response framework. The underlying governance model, operational definitions, quality taxonomy, decision boundaries, and human-review responsibilities predated the AI implementation. As AI capabilities advanced, a no-code agent was introduced as a technology-enabled extension of this operating model to support evidence retrieval, record classification, recurring analysis, operational reporting, validation, and decision preparation. Rather than presenting AI as the origin of the underlying framework or as an autonomous decision-maker, the case study examines how agentic AI can augment an existing professional system while preserving accountable human judgment for consequential decisions. Particular attention is given to source-of-truth boundaries, context engineering, classification and evidence rules, reusable workflow design, validation controls, uncertainty, and human-in-the-loop governance. The implementation was designed and tested before completion of OpenAI Academy's Agents and Workflows course. The course is therefore used retrospectively as a conceptual lens for examining the completed implementation through the sequence of gathering context, defining goals, specifying outputs, AI execution, human review, instruction refinement, and reuse. This public edition has been generalized for dissemination. Organization-specific processes, internal project identifiers, proprietary links, individual accounts, private operational data, and confidential implementation details have been removed while preserving the workflow architecture, governance logic, validation approach, and transferable professional lessons. This is practice-based professional work rather than peer-reviewed empirical research. Implementation observations are presented as case evidence and should not be interpreted as independent performance benchmarks. Publication classification: Applied AI Case StudyAuthor: Saheli Basu Author's Note:This work translates learning and assessment experience into scalable, advanced operational process improvements. Framework lineage: This case study represents a technology-enabled extension of ideas developed in the Service Operations Visibility Framework (2026) and, more directly, the Quality Monitoring & Incident Response Framework (2026). It documents an applied AI implementation of selected operational and governance principles rather than serving as another volume in the Professional Framework Series.
